Replying to Candidates Across Channels

A candidate reply can get answered two ways: FastHire may send an AI-drafted answer automatically the moment it arrives, or you can write and send a reply yourself from Inbox. Both only work on LinkedIn and email — WhatsApp conversations are read-only in FastHire.

Read this before assuming every reply is reviewed by a human first: FastHire automatically sends an AI-written reply to a candidate's question with no approval step, whenever it's confident enough to answer. There's currently no setting to turn this off.

Automatic AI replies

Every time a candidate replies over LinkedIn or email, FastHire checks whether their message contains a concrete, factual question — about location, seniority, requirements, compensation, remote/hybrid policy, and similar — that it can confidently answer using only the real role details it already has. If so, it drafts a short answer and sends it immediately, with no recruiter review.

If the question is vague, off-topic, or something the role details don't actually cover, FastHire deliberately does not reply automatically rather than guess or invent an answer (it will never make up salary figures, start dates, or other specifics). In that case, the conversation just waits for you in Inbox like any other reply.

An auto-sent reply looks exactly like any other outbound message in the thread — there's no separate label distinguishing it from something you typed yourself. Check Inbox regularly so you're aware of what's gone out on your behalf.

Manual replies

Open the conversation in Inbox and type into the reply box at the bottom. It's only available once the candidate has messaged first, and only for LinkedIn or email conversations. Nothing stops you from replying to a conversation the AI already auto-answered — do this any time you want to add detail, correct something, or just continue the conversation yourself.

WhatsApp is read-only

WhatsApp messages appear in Inbox for you to read, but neither the automatic AI reply nor the manual reply composer works on that channel — there's no way to send a reply of any kind back over WhatsApp from FastHire today.

Frequently asked questions

Can I turn off automatic AI replies?

Not currently — there's no setting to disable it. It only ever fires for concrete, confidently-answerable questions, but it does so without asking you first.

How do I know if a message in the thread was sent by AI or by me?

You can't tell from the thread itself — auto-sent and manually-sent replies look identical. If you need to track this, keep an eye on Inbox shortly after outreach goes out rather than relying on the message history to distinguish them after the fact.

What if the AI's automatic answer is wrong or incomplete?

Reply manually to the same conversation to correct or add to it — there's no way to unsend or edit the automatic reply itself.

Does auto-reply work on questions I haven't given FastHire information about?

No — it only answers using role details FastHire actually has. Without a confident answer available, it stays silent and leaves the reply for you.

Does an automatic reply count toward my daily sending limits?

Automatic replies fire independent of the sequence step schedule and aren't gated by your configured daily sending caps the way scheduled sequence steps are.
