Setting Up Automatic Interview Reminders (WhatsApp & Email)

Interview reminders send automatically 1 hour before a confirmed interview — but WhatsApp and email reminders work very differently under the hood. WhatsApp needs nothing beyond flipping the toggle; email reminders only go out for recruiters who've connected their own inbox.
Where to turn them on
Go to Settings → Interview reminders. Only Org Admins can access this page.
WhatsApp reminders
Turn on "Send WhatsApp interview reminders" and you're done — these send from FastHire's own shared WhatsApp Business number, not anyone's personal account, so there's no connection to set up per recruiter.
Email reminders
Turning on "Send email interview reminders" is only half the setup. Email reminders send through each recruiter's own connected inbox (Settings → Connections → Email accounts) — if a recruiter hasn't connected one, their candidates simply won't get an email reminder, silently, with no error shown anywhere. Make sure every recruiter who schedules interviews has connected an email account if you want this to actually work for their candidates.
What triggers a reminder
Sends exactly once, 1 hour before the interview's scheduled time
Only for interviews with Confirmed status — cancelled interviews never get one
WhatsApp reminders need the candidate's phone number on file; email reminders need their email address on file
Includes the meeting link if one exists, or a note that the recruiter will share it shortly if it doesn't
Frequently asked questions
If I turn on email reminders, do they work for my whole team immediately?
Only for recruiters who already have their own email account connected. Everyone else's candidates won't get a reminder until they connect one too.
Do I need my own WhatsApp Business account for WhatsApp reminders?
No — these send from FastHire's shared WhatsApp Business number, not a personal or per-recruiter account.
Can a Recruiter (non-Admin) turn these settings on?
No — Settings → Interview reminders is Org Admin only.
What if the meeting link isn't ready yet when the reminder goes out?
The reminder still sends, telling the candidate their recruiter will share the meeting link shortly, rather than waiting or skipping.
Will a candidate get reminded twice if something goes wrong and retries?
No — each reminder is recorded once it's actually sent, so a retry never double-sends.
